If you’re using a Gmail or Yahoo email address to run your business, you may be losing customers before you even talk to them, that can immediately register as unprofessional, untrustworthy, and possibly spam. On the flip side, if they see hello@yourbusiness.com, that implies legitimacy, professionalism, and a real company. The next step people often take to figure out whether you’re legitimate is to look at your email address, copy the domain, and go look at your website. It is the front door to your business, especially if you’re doing any kind of outbound.

Whether it’s inbound or outbound, if you talk to customers or vendors or anyone about your business, then you need a business email address, or likely multiple different ones. This is a basic skill, yes, but it’s also an important one, and a lot of people don’t do it.

Google Workspace Business Email

One of the big options out there is Google Workspace, which is Google’s business email solution. You get the same interface as Gmail but run through a custom domain. Finally, you could buy a business email through a domain provider like GoDaddy. The pros are that it’s bundled with website hosting. The cons are that it can be annoying to sign into, and often it’s still pretty expensive.

Those are some popular options, and you can go with any of them, but we’re going to focus on Neo Mail for this step-by-step walkthrough. Neo Mail Platform Walkthrough

We’re going to start this flow on the Neo website, neo.space. On the homepage, click start with email under business email with domain.

Choosing the Domain

This is where you choose the domain for your business. That should just be the name of your business. I’ll use John Law YouTube as an example and see if that’s available. Since it is, I’ll click use this domain.

Creating an Account

Next, create an account on the Neo site. I’ll enter my name, then an email and a password. This is what you’ll use to sign in to your business email address. This is nicer than a lot of other flows.

Choosing the Mailbox

Here you choose the actual mailbox. This could be your first name at the domain. It could be hello, info, or contact. If you have a specific use case for the email, like receiving inquiries from your website, then do something like contact@johnhlawyoutube.co.site, info@, or vendorrequests@. If it’s not a specific application like that, just keep it to your name, either first name or first name and last name. I’ll go with john@ and then set a password for the mailbox so I can log in directly to this email. Then click create mailbox.

Adding Other Mailboxes

This is where you add other people or other email addresses. For example, maybe Sarah helps me out with videos, so I give her an email address. Maybe I want a partnerships email for collaborations, and so on. Add as many mailboxes as you like for the other people in your business or for specific purposes. In this case, I’ll skip that. The same goes for the next screen. If you wanted contact@, sales@, or admin@, this is an easy place to add them. I’ll skip this too.

AI Powered Website

This is the AI powered website I mentioned, and we’re going to add it. If you don’t have a website already, this is a very easy way to get one up for your business. A lot of people who get emails from you, or who you email, are going to use that domain as the reference point for finding your website.

Here is the pricing. You can see how cheap this is compared to options like Google Workspace, which is probably the most common out there. Note as well that the free domain and the free AI website are included. Your webmail is now active.

Business Email Is Set Up

That took about 2 minutes, and now our business email is set up. It works just like Gmail, Yahoo, Outlook, or whatever email platform you use currently. You have your inbox with emails that come in, and you can send emails from the top. Something I think is useful is that you can also design emails. You have AI writer tools, templates, and invoice builders, various tools that are integrated directly into the email platform.

Neo Admin Panel and AI Site

We’re going to go back to the main site and click sign in to my customer account. Under my name, I’ll hit access Neo admin panel. Here I can track and manage my email account. I can also go to site, which is where we set up and manage the AI site. We already have the business name, and it’s going to integrate the email automatically for us. Then I’ll say that the business is a YouTube channel about business, entrepreneurship, and personal finance, and hit build site with AI. While it builds the site, which will take a minute or two, I want to head back into the email.

Switching Apps

On the top left, you can switch apps. The site builder is right there as well, which is another easy way to access it. We also have a few other apps: calendar, bookings, admin, and contacts.

Signature Designer

Before we go there, I want to point out the signature designer. The signature is the block below your email message. I’ll hit create a custom signature, or you can use the templates provided by Neo. I’ll name it default and then put in my name and my role. If this were the business name, I could put it here. Then I’ll add my contact email address as well and click save. Now that signature is set up. You can do a lot of other things here too, like forwarding and all the normal settings you’d expect to find in Gmail, Yahoo, and so on.

Editing the Site

Let’s click back to email and switch tabs. It looks like the site is finished. You can go through it by clicking edit site. It’s a site that gets the job done. It tells you what the services are, and you can customize all of that. The copy is nice, and there’s also any pricing that may be there, testimonials, and a WhatsApp number for contact. To edit it, just click edit site and make it your own. It’s fully synced with your email.

Calendar, Contacts, and Bookings

If we hop back in and switch apps, we can go to calendar and connect our Google or Outlook calendars, so our business email is synced with the calendar within Neo Mail. Under contacts, we can see a list of the contacts in our email. Under bookings, you can set up, as the name implies, bookings for your business. That’s the point. You want that process to be clean and intuitive, and to get from zero to your domain, your email, and your site in just a few minutes.

Best Practices for Setting Up a Business Email

Number One: Choose the Right Email Address

Number one is choosing the right email address. You want something simple and to the point. If it’s for an individual like yourself, just your first name at your domain, like john@yourdomain.com, is a good way to go. For a welcome or inbound email, something like hello@yourdomain.com works well. Contact@ and info@ are two other popular ones. Avoid anything with numbers and anything overly long. That’s just general best practice.

Number Two: Create a Professional Email Signature

Number two is to create a professional email signature with all of your information and links, the name of your company, and so on. Neo Mail has templates built into the platform.

Number Three: Set Up Email Forwarding

Number three, if you still want to check your business emails on your personal, say, Gmail address, you can set up email forwarding. Anytime emails come into your business email, they get routed over to your personal Gmail as well.

Number Four: Turn On Two-Factor Authentication

Number four, quick one. Turn on two-factor authentication for security, because this is your business email address.

Number Five: Put Your Email Out Into the World

Number five, none of that matters if you don’t put that email out into the world. Once you’ve created it, update your website and your social media profiles, and make sure your older email address isn’t showing up anywhere. Otherwise you’re managing business on multiple emails, which gets to be a hassle, and things slip through the cracks.
